Our client is seeking an Information Technology Professional to fill the position of Practice Support Specialist in our Baton Rouge office. As a member of the Information Technology Department and Practice Support team, the Practice Support Specialist will assist Practice Support Coordinators and Manager with the implementation of cost-effective technology solutions to support litigation, document management, e-discovery, and trial preparation. The ideal candidate will have experience in a law firm setting or with an e-discovery vendor working on multiple cases simultaneously. Responsibilities include assisting Practice Support Coordinators in managing complex e-discovery projects and other unique projects from the earliest stages of litigation through production and trial preparation. Candidate must have prior experience with Relativity and managing evidence and case-related documents utilizing various litigation software. Knowledge of and experience with the fundamentals of electronic discovery processing is highly desirable. The Practice Support Specialist will report to the Manager of Practice Support.

Responsibilities:
  • Provide remote office assistance beyond the Baton Rouge office
  • Maintain accurate chain of custody of records
  • Primary contact for data FTP transfers via ShareFile following existing protocols and policies to ensure compliance with data privacy laws and regulations
  • Assistance in resolving software/hardware issues that arise in the daily use of Practice Support applications
  • Creation of electronic closing binders by creating hyperlinks to external documents in Nuance PowerPDF
  • Assist with logical document determination in splitting documents for review
  • Maintain, administer, support, and troubleshoot existing Practice Support applications and databases such as Relativity, CaseMap, TimeMap, and TextMap
  • Assist with synchronizing deposition transcripts with video utilizing TimeCoder
  • Administration of Relativity for matter workspaces:
    • Creation of workspaces utilizing firm-created templates
    • Ingest data utilizing Relativity Processing
    • Perform QC on deliverables received from third parties and follow-up as necessary to correct any issues.
    • User and group creation/permissions
    • Export documents based on saved searches
  • Preparation of document production deliverables (CDs/DVDs, thumb drives, external hard drives, and FTP sites)
  • Assist PS Coordinators with coordinating 3rd-party vendors providing services such as paper document scanning and forensic collection/analysis
  • Assist with data cleanup/archiving
  • Allocate time per project and charge as billable time to appropriate client matters
  • Complete daily billing time entries in an accurate and timely manner (Practice Support Manager to review and approve time entries weekly)

  • Adhere to strict confidentiality standards (keeps confidential all information concerning firm, matters, and clients)
Requirements:
The Practice Support Specialist will work closely with the Practice Support Coordinators to assist in successfully applying technology during the discovery, case management, and trial preparation stages of legal matters. Prior experience in the “hot seat” at trial is desired, but not required.
  • A High School Diploma plus experience in a law firm setting or other related experience
  • Prior knowledge in the use of Relativity as a power reviewer and/or administrator
  • Proficiency in Microsoft Office 2010/2016 products and Windows 10
  • Strong proficiency in Excel 2010 or 2016 (especially with data analysis/manipulation, formulas, hyperlinks)
  • Familiarity with image manipulation, bookmarks, and combining/splitting documents in products such as Nuance PowerPDF/Adobe Acrobat
  • Good problem solving/analytical skills and using them to resolve technical problems
  • Possesses a well-rounded understanding of the legal case lifecycle
  • Strong customer service skills and demonstrated ability to build professional relationships
  • Strong communication skills with the ability to communicate (verbally and written) to all levels of the business including non-technical customers
  • Strong organization skills
  • Present professional appearance; excellent work ethic and attitude; and maintain organized personal workspace
  • Ability to work individually and within a team environment
  • Participate in various projects as assigned/requested
  • Other tasks and duties as assigned
  • This position will require, from time to time, off-hour (evenings and weekends) work assignments and/or local travel
  • Semi-flexible schedule required to provide support as needed when faced with non-flexible deadlines as they arise
  • Manage multiple tasks simultaneously while effectively prioritizing
  • Onsite performance of duties and regularly attending work during regularly scheduled business hours are essential functions of this position
