Scheduling Coordinator (CONSULTANCY)

TRU Staffing Partners is seeking a Scheduling Coordinator based anywhere in the United States. This role will work closely with the Scheduling Manager and the Recruitment team and will be responsible for coordinating phone/video/in-person interviews with candidates, clients and the TRU team. This is a remote work from home position with possible growth potential. The coordinator must be extremely organized in order to handle many tasks of varying priority and urgency. RESPONSIBILITIES:
  • Coordinating phone/video/in-person interviews with candidates, clients and the TRU team
  • Following TRU’s Standard Operating Procedures
  • Scheduling internal/external phone calls
  • Coordinating travel as needed
  • Willing to also help assist on various projects assigned by TRU team members
  • Willing to take on more administrative functions that carry a higher level of responsibility as the coordinator grows into the role
  • Using of applications/systems including Microsoft Office, Slack, LinkedIn, Zoom, Bullhorn, internet searches
  • Other tasks include: data entry, emailing, proofreading resumes, drafting weekly newsletters, emailing midday/evening updates, participating in conference calls, as well as other various projects/assignments as needed
This role with also assist the Director, Business Development with the following:
  • Identifying new contacts for the BD Manager at potential clients in the vendor, corporate, and law firm space that lead to job openings in the e-discovery, cybersecurity, and privacy sector
  • Monitoring existing clients for new job opportunities and promptly notifying client owner, making sure no new jobs are missed
  • Tracking new leads, identifying new points of contact and entering information into CRM and Slack
  • Performing industry research including: Identifying key decision makers at prospective clients as well as collecting and organizing contact information; following industry publications, leveraging social media to create online dialogue; tracking industry trends that relate to possible future needs in staffing

KEY ATTRIBUTES NECESSARY FOR SUCCESS IN THIS ROLE:
  • Organization: The scheduling coordinator must be extremely organized in order to handle many tasks of varying priority and urgency. Possessing a high attention to detail, practicing time management and self-motivated to work in a home setting.
  • Responsiveness: The expectation is that when a client asks for an interview to be scheduled, the scheduling coordinator will confirm receipt of the client’s request within 15 minutes, call and email the candidate immediately after, and ensure the appointment is on everyone’s calendar within 24 hours of a client’s request. Scheduling can occur all day, or in peaks and valleys. You must be comfortable with down time to achieve other tasks, and then switch gears and immediately schedule when a client has a request, being available with the ability to multitask.
  • Attitude: Excellent with verbal and written communication, friendly/warm phone demeanor is always expected. You are the ambassador of TRU company culture and must treat every scheduling request with excitement, positivity and approachability all while using best judgement in all interactions.
