Director of e-Discovery (VENDOR)

Our client, a top tier legal discovery and managed service provider, is seeking a Director of e-Discovery in their Nashville, Tennessee office. The Director will be involved in all aspects of project engagements. Duties will include prospecting ESI data, monitoring and replying to customer requests, conducting web-based demos, generating weekly reports, assisting with hosting project support, developing workflow and supporting the back office as needed. The Director will handle communication with production employees and clients regarding projects and training, will attend required meetings, and may provide after-hours support. The ideal candidate will understand the U.S. legal discovery process as well as e-discovery and the EDRM and should possess high-level knowledge of general e-discovery operations, including document processing, hosting, review, and production. The ability to oversee multiple tasks simultaneously and to prioritize appropriately will be key in this position. Experience as a coach/team lead is desired but not required. RCA and other Relativity or e-discovery related certifications highly desired. Send resumes to [email protected].

Job Objectives/ Duties: 

  • Serve as point person and central point of contact for the matter activity once the PM has been assigned to the case
  • Communicate with clients via email, phone, and in person, to address client questions, issues, work requests...etc.
  • Track all client deadlines, client/matter request queue, and track status of work being performed by other departments
  • Help to manage and move client data through EDRM phases and appropriate internal tasks to get data loaded, tagged, processed, produced/exported, etc.
  • Bring in other departments (Forensics, Advisory Services, Sales) as needed or when specialized experience is required
  • Ensure client work requests are fulfilled in timely manner and oversee client deliverables by directly handling client requests, working with with PM Support Team on all requests
  • Devise workflows to efficiently solve client e-discovery challenges
  • Handle billing for assigned cases and ensure own hours are billed appropriately in billing systems

Essential Job Functions:

  • Onboard, Manage, and Support Matters
  • Serve as primary point of contact for case team to ensure client needs are being met
  • Work closely with clients on matter design process and matter intake
  • Continuously track multiple projects and jobs to ensure deadlines are met
  • Serve as a liaison between the company, production, and the client
  • Communicate frequently with client to troubleshoot issues and provide status updates according to the client’s preference
  • Keep current project-related documentation current
  • Track projects effectively and follow established firm protocols and procedures
  • Upkeep of Billing System and making sure that all departments update billing information in timely manner
  • Satisfy project schedules including production deadlines and data delivery dates
  • Track required information for data received and transitioned to and from clients
  • Follow company policies and procedures as outlined during training
  • Participate in department’s weekly and monthly meetings

Minimum Qualifications:  

  • Understanding of the US legal discovery process, eDiscovery, the EDRM
  • High-level knowledge of general eDiscovery operations, including document processing, hosting, review, production
  • Ability to oversee multiple tasks simultaneously and to prioritize appropriately
  • Strong oral and written communication skills to effectively communicate with clients and internal departments
  • Ability to work well under pressure and meet tight deadlines
  • Ability to both work in collaborative environment as part of a team but also independently with limited supervision
  • Available to work overtime, including evenings and/or weekends as needed
  • Knowledge of Excel, Word, and Outlook
  • Experience with Relativity e-Discovery platform and other document review hosting platforms
  • Ability to oversee multiple tasks simultaneously and to prioritize appropriately
  • Familiarity working with Microsoft Windows environments
  • Ability to innovate and come up with creative and new solutions to both unique and common e-discovery problems

Preferred Skills & Experience:  

  • RCA and other Relativity or e-Discovery related certifications
  • Experience working in either (preferably both) of the following environments:
  • Am Law 200 or Law Firm setting as a Paralegal, Associate, Law Clerk, or e-discovery / Litigation Support professional
  • Service provider/vendor operations (in client/Attorney facing, non-sales role)
  • Experience with e-Discovery platforms similar to Relativity (Clearwell, Catalyst, Recommind, etc.)
  • Previous management experience including experience developing budgets and workflow strategies
  • Technical experience with document review or e-discovery matters
  • Strong problem-solving skills
